Description:
Ministry Function: The US Disaster Services Administrative Manager supports the ministry of Convoy of Hope (COH) by providing support and/or oversight for the Disaster Services Working Group with regard to administration, communications, task management, Working Group culture, data management, training, and other projects as assigned. This position serves an alternate role during responses and is considered to be deployable. Essential Duties and Responsibilities: 1. Ensures effective management of DS projects: prioritizing and delegating tasks and working with Working Group members to ensure successful completion, often with deadline pressures. 2. Supports DS by creating processes and providing quality control needed for Working Group communication, reporting, and budgets. 3. Upon the direction of the Senior Director-USDS, initiates contact with Reserve Staff members and coordinates all logistics for deployment, training or staff meetings. 4. Prepare and/or coordinate the preparation of all DS documentation, as assigned (Communications requests, financial forms, outbound forms, etc). 5. Serve as the frontline for receiving all assigned DS calls and public inquiries. 6. Track and oversee the input of DS program data (Wiki, Salesforce, etc.) and prepare summary reports to all levels of the organization as needed/requested. 7. Assist with expense reporting, calendar scheduling, meeting planning & Working Group communications. 8. Prepare situation reports, both daily and response and/or recovery related, as needed. 9. During active responses, serve in the COHOC and/or deploy, as assigned. 10. Assist with preparation of training materials, as assigned. 11. All other duties as assigned.


Qualifications:
Required Knowledge, Skills, and Abilities: 1. Bachelor’s degree in related field preferred; high school diploma or equivalent required. 2. 3+ years of experience in office administration required. 3. Ability and willingness to deploy as required. 4. Ability to positively contribute to team projects, cooperate with team members and assist supervisors with planning and evaluation. 5. Excellent interpersonal communication and mediation skills and tact are a must. 6. Excellent verbal and written communication skills for creating, editing and proofreading correspondence. 7. Strong organizational and problem-solving skills, the ability to multi-task, be detail oriented and manage deadlines. 8. Ability to use a PC and/or Mac software programs, including but not limited to Microsoft Office Suite and Google Business. 9. Must be 25 years of age and able to obtain a Class E driver’s license. 10. Must have or obtain “ServSafe Manager” certification within six months of employment 11. Must have or obtain applicable Forklift Certification within six months of employment. 12. Must have or obtain CPR/AED/Basic First Aid certification within six months of employment. 13. Completion of required FEMA and NIMS courses prior to employment or within one year of employment. 14. Serve as an advocate for the ministry, striving to nurture, broaden and develop financial and other resource opportunities to support and expand organizational and program ministry. 15. Ability to positively represent the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies. 16. As a Christian organization, Convoy of Hope believes it is critical that each staff member embraces the organization's religious purposes for which it exists and not only agrees with its Statement of Faith but demonstrates it in their lives on an ongoing basis. Supervisory Responsibilities: This position may have direct supervisory responsibilities of volunteers and/or staff.
